The Board
The Board shows all your Reminders lists in three columns, so you see at a glance what is open, what you are working on and what is done. Open it with Board in the Kanban area of the sidebar.
Columns
Section titled “Columns”- Todo: open cards, grouped by list. Your Inbox is always on top; the other lists follow the order of your areas.
- Progress: the cards you are working on. Only lists with cards in progress appear here.
- Done: completed cards, newest first. By default each list shows its 15 most recent; change this with Done cards per list (5, 15, 50 or All) in Settings or in the Board’s inspector.
A card in Done is a completed reminder. The circle in front of a card’s title completes it (and reopens it) without opening the card.
Every list has a header with its name and number of cards:
- The triangle collapses or expands the list in this column. On Mac the toolbar button Expand All Lists / Collapse All Lists (⌘⇧E) does it for every list. With Start with lists expanded in Settings, all lists start open.
- Tap the list name to show the list in the inspector.
- The + buttons, in the header and below the cards, create a new card in this list and column.
- The … button opens the list menu (you can also right-click the header on Mac, or touch and hold it on iPad and iPhone): New Card…, Batch Entries… (one card per line), Select Cards… (iPad and iPhone), Assign Colors…, Focus List, Show in Inspector, Collapse or Expand, Show Project for lists that belong to a project, Set as Inbox, Set as Someday/Maybe and Archive List….
With nothing selected, the inspector shows the board’s counts, the GTD roles (Inbox, Someday/Maybe) and display options.
Move and reorder cards
Section titled “Move and reorder cards”- Drag a card onto another column to move it there.
- Drop a card onto another card to place it right before that card. In Todo, dropping it onto a card of another list also moves it to that list.
- Or use the card’s menu (right-click on Mac, touch and hold on iPad and iPhone): Move to › Todo, Progress or Done.
Moving a card changes the meaning of its flag; see Cards.
Several cards per row
Section titled “Several cards per row”When a column is wide enough, cards sit side by side, up to five per row. The selected card always gets a row of its own. In Settings › Board:
- Cards per row: Automatic (the default on Mac and iPad) or One per row (the default on iPhone).
- Prefer wide cards: fewer, wider cards per row (with Automatic).
- Prefer shallow cards: two title lines and no context label, so more cards fit.

Filter the board
Section titled “Filter the board”- By context: the bar at the top shows @ All Contexts ▾ once your cards have contexts. Choose a context to see only its cards, or Unassigned for cards without a context. The active filter is highlighted; the ✕ next to it clears it.
- By text: type into the search field at the top of the sidebar.
- By area: tap an area in the sidebar to see only its lists.
- One list: tap a list under Lists in the sidebar. The board then shows only that list, always expanded and without its header; … and + stay available. On Mac ⌘-click or ⇧-click more lists to see them together. Tap Board to see everything again.
While a context filter or a search is active, lists open up so no match stays hidden, and lists without matches disappear. The context filter also applies to an area and to a single list.
On iPhone and in narrow windows
Section titled “On iPhone and in narrow windows”When the board is narrower than about 700 points, a segmented control at the top shows one column at a time: Todo, Progress or Done. To move a card to another column there, use Move to in the card’s menu.
