Getting Started
iKanban shows your Apple Reminders as a Kanban board. Every Reminders list becomes a list on the board, and every reminder becomes a card. There is no import and no second database: what you see is exactly what the Reminders app sees, on every device.
Where your data lives
Section titled “Where your data lives”- Your cards are reminders. They sync through your iCloud account, just like in the Reminders app. Add a reminder with Siri or check one off in the Reminders app, and it shows up on the board.
- iKanban’s extras (column, flag, order, color) are stored as small
#iKanban-…tokens in the reminder’s notes. The app manages them and hides them from the notes field. - Areas, the color legend and your project folders live in the iKanban folder in your iCloud Drive, so all your devices see the same.
- If you delete iKanban, your cards stay in Reminders.
Allow access to Reminders
Section titled “Allow access to Reminders”- Open iKanban. The system asks for access to your Reminders.
- Allow it. That is the whole setup: your lists appear on the Board.
If you declined by mistake:
- On Mac: the window shows No Reminders Access. Allow iKanban in System Settings › Privacy & Security › Reminders.
- On iPad and iPhone: the app shows Reminders Access. Tap Open Settings and allow access there.
First steps
Section titled “First steps”- In the sidebar, choose the Kanban area and tap Board. The Todo column shows your lists.
- Choose your Inbox, the list where everything new lands first. If you already have a list called “Inbox”, iKanban uses it. Otherwise open a list’s menu (…) on the board and choose Set as Inbox. The Inbox always sits on top of Todo.
- Create a card with New › New Card (⌘N on Mac). Type
@and a word in the title, for example “Call Anna @phone”, to give the card a context. - When you start working on the card, drag it to Progress. When it’s done, tap the circle in front of its title.
- Tap the card to see and edit its details in the inspector.
Your devices
Section titled “Your devices”- Mac, iPad and iPhone share the same workspace: a sidebar, the content and an inspector, arranged to fit the screen. See The Workspace.
- A few things depend on the device. You draw sketches on iPad and iPhone, and you write journals on iPad; the Mac shows both.
- Apple Watch and Apple TV have their own apps that show your board. See Apple Watch and Apple TV.
Where to go next
Section titled “Where to go next”- The Workspace: sidebar, content, inspector and the header buttons.
- The Board: columns, lists, drag and drop, filters.
- Cards: what a card carries and how to edit it.
- Selecting Several Cards: move or delete many cards at once.
- Colors and the Color Legend: give colors a meaning and sort by them.
You can open this help at any time: the question mark at the top of the sidebar on iPad and iPhone, Help › iKanban Help (⌘?) on the Mac.
When the board works for you, continue with Areas, Lists and the Archive, Getting Things Done, the Weekly Review and Projects.
