Siri, Shortcuts, Spotlight and Widgets
iKanban works with the system features of your Mac, iPad and iPhone. You can create and change cards with the Shortcuts app and Siri, find cards in Spotlight and keep your current work in view with widgets, without opening the app.
Actions in the Shortcuts app
Section titled “Actions in the Shortcuts app”Open iKanban once and allow access to Reminders. Then search for iKanban in the Shortcuts app. The actions work on the same Reminders data as the app:
- Create Card creates a card with a title in a list. Leave the list empty to use your Inbox list.
- Toggle Card Flag flags or unflags a card.
- Move Card to Station moves a card to Todo, Doing or Done. Flags and repeating cards follow the same rules as on the board.
- Clear Card Schedule removes the due date, the repeat rule or the location alert of a card. Turn on at least one of them.
- Open in iKanban opens a card, a list or a project in the app.
iKanban also offers the standard reminder actions: create a reminder (with note, flag, one context tag, one URL, due date, repeat rule and location alert), update a reminder, create a reminder list and delete reminders. Before deleting, iKanban lists the cards and asks you to confirm.
Some reminder options don’t fit on a card. In that case iKanban saves nothing and tells you why. Images, subtasks and list sections aren’t supported, a card takes one context word and one URL, and some complex repeat rules have to be edited in Reminders.
Two actions come with ready-made phrases, for example:
- “Create a card in iKanban” or “Add a card to iKanban”
- “Flag a card in iKanban”
Siri asks for anything that’s missing, such as the title or the card.
On Mac: Open Siri at the top of the assistant column opens Siri as a separate app. iKanban makes its actions and your cards available to the system; what Siri can do with them in a conversation depends on the Siri features Apple offers for your device, language and region.
Spotlight
Section titled “Spotlight”iKanban adds your cards, lists and projects to Spotlight on Mac, iPad and iPhone. A result shows the title and its context: list, account, column, @context, flag and project.
Choose a result to open it in iKanban:
- A card opens on the Board with its list in focus and the card selected.
- A list opens on the Board.
- A project opens its overview.
Good to know:
- Spotlight gets titles and this context only, never notes, links, files, drawings or attachments. Completed cards are included.
- The index is updated while iKanban runs. Changes you make while the app is closed appear after you open it again.
- If a result no longer exists, iKanban says so instead of opening something else.
Widgets
Section titled “Widgets”Two widgets are available on the iPhone and iPad Home Screen and on the Mac desktop, each in small, medium and large:
- iKanban shows the cards in Progress.
- iKanban — Next shows your flagged Todo cards, the ones marked Next.
Add them like any other widget: search for iKanban in the widget gallery.
- Small shows up to three cards. Tap the widget to open iKanban.
- Medium shows up to three cards, large up to eight with area, list, @context and due date.
- In medium and large, each card is a link (
ikanban://card/…) that opens exactly this card in iKanban. - In medium and large, the flag on a card is a button. Tap it to flag or unflag the card. If the widget can’t save the change right away, iKanban applies it the next time you open the app.
Widgets show what iKanban last saved. They update after every change you make in iKanban. Changes made directly in the Reminders app appear once iKanban has run again.
